Onsite Technical Support

Providing technical support is absolutely critical for a success implementation of technology into the curriculum.  However, most conventional service providers can't provide support that is tailored to the learning environment.  That is where HelpMySchool is different.

Our specially designed support services are specially designed to support the learning environment.  We engage support with three primary considerations in mind:

  1. Keeping the learning environment moving and un-interrupted by providing the support services silently;
  2. Prioritizing the issues and grouping the responses by subject level;
  3. Coupling support services with our Professional Development system.

By assuring that each of these critical steps are engaged in each request, we are able to properly support your technology in ways no conventional provider can.  Additionally, because over 95% of all support issues can be resolved remotely, we are able to more quickly and accurately repair issues silently and with almost NO interaction of the end-user.

Teacher-At-Home Support

We know that teachers don't stop working at the 3:00 bell.  In many cases, the work continues at home well into the evening.  In most cases, this involves the teacher's home technology being used to support the classroom.

For that reason, we provide each of your district staff members (certified or not) access to our state-of-the-art technology support services from 3:00pm to 9:00pm each weekday at no charge.

Assisting your teachers with their home technology is mission critical in our eyes and we recognize the importance of this tool.  Each staff member is allowed two free technology resolutions for their home computer every 60 days.  If additional support is required beyond the two resolutions, we also offer additional support resolutions at just $39.95 each.  That is as much as a 60% saving over taking the computer to the local repair facility, or, having a technician dispatched to the home.

If an issue can't be resolved remotely, we'll even assist the staff member with locating a reputable and cost effective local repair center.

Technology Asset Management

Keeping track of your technology equipment is not only a good idea, it is mandatory for certain state and federal programs.  Our custom designed inventory tracking system allows you to see in real-time what technology equipment you have as well as a range of other information.

In addition to tracking your technology equipment, our completely automated asset management system allows you to access a host of other information.  Whether you are looking for all computers that were purchased last year, or trying to find out what your average utilization is for a device, our automated system does it all for you.

Districts can even use the automated tracking system to control computers, allow or dis-allow installation of components and software or just about anything in between.  Tracking your technology equipment has never been easier or more reliable.

All tracked items are bar coded, labeled and electronically included in our system database.  This electronic data is then used to link devices to trend generating items such as: Help Desk cases, technology plans, training activities and more.

Classroom Inventory

Our Classroom Inventory system allows site administrators to easily track items assigned to a teacher or classroom electronically.

Tracking for the classroom isn't limited to only technology equipment.  Our Classroom Inventory tool facilitates virtually any component included in a given classroom including: computers, peripherals, interactive whiteboards, books, desks, chairs, and other classroom inventory.  Site administrators can even create custom tracking groups allowing them to tailor the system to their needs.

This open design allows the system to function as an end-of-year checkout list for teachers making the end of year checkout simple and completely electronic.  Teachers can update components, notify administration of faulty items, print a list of all items in their classroom, and electronically sign the document.  Tracking your classroom inventory is simple and totally paper-free.

Grant Filing Assistance

Grant writing can be time consuming and cumbersome.  In fact, successfully applying for a grant of any nature typically requires the services of a well established and experienced writer.  While HelpMySchool doesn't actually write grants, our services should be a core component of any grant application.

When submitting grant applications, your Account Manager will work with the writer of your choice to assure the technology aspects and requirements of the grant terms are met successfully.  In addition, we'll work with the writer to assure that the project budget has been properly implemented, is responsible and in alignment with the scope of the grant project.

Like an architect designs and oversees a new building project, your Account Manager will design any technology systems as a part of the grant application and then manage the installation and implementation of the project once it is funded.  Our services assure that everything that has been requested is implemented, nothing is left out and the project is on-budget.  There are never "surprises" or extra technology expenses when HelpMySchool does the planning.

Easy E-Rate Processing

The federal E-rate program has proven to be a necessary source of funding for schools, libraries, Head Start programs and other learning institutions.  However, accessing the money has been increasingly difficult.  The rules almost seem to change daily at times.  That is where HelpMySchool's turn-key E-rate filing services are a must for any public school today.

Unlike conventional E-rate consultants, HelpMySchool has the experience and background to facilitate the entire application project.  All that is required of the applicant is the selection of the successful bidder. 

To remain in full compliance with E-rate guidelines, your HelpMySchool Account Manager will facilitate the entire application process for you and assemble the required bids for services.  While he/she will not be party to the actual selection of an E-rate eligible service provider, you can rely on your Account Manager to answer any questions you may have regarding the technical nature of the bidding process.  Selection of the successful bidder is the ONLY portion which your Account Manager can not do for you.  Every other aspect of the application process is handled from A to Z.

In addition to filing the necessary paperwork for our client, we also provide Audit Defense Services.  In fact, we offer the only known guarantee of its kind in the industry.  Because we automatically pre-audit your previous and current E-rate files, we internally "certify" eligible applications as compliant with E-rate regulations.  What's more, we offer the only known E-rate filing guarantee of it's kind and that puts our client schools at a zero risk for violating USAC rules and guidelines.  No other known E-rate consultant in the industry has made that level of commitment to their clients.  You can always be confident that HelpMySchool is at your side to defend you.

Technology Planning Services

Properly planning your district technology is a pretty tall order. Technology plans are typically outdated very soon after they are created.  For a technology plan to be truly beneficial and accurate, frequent changes are a must.

When HelpMySchool manages your technology plan, the document becomes a dynamic "living document" that serves as a road map to your district technology.  Since our plans are dynamic and always accurate, you'll never have to worry about your required technology plan again.

Your technology plan is automatically updated as often as necessary, and when certain events occur in your technological environment.  For example, because every aspect of your district technology is related your plan is updated every time a new support case is created or a technology component is added or removed.  The result is the living document that can be printed and referenced at any moment throughout the year.  This always accurate format allows districts to plan future budgets and obtain technology plan approval letters.

Lastly, since your technology plan is entirely electronic, it is automatically submitted to your local technology plan reviewers regularly and when requested by either party.  You'll never have to worry whether your plan is current and/or approved.

Website Design And Maintenance

There is nothing more frustrating to a website visitor than to log on and see old or outdated information.  With the advancements of community resources such as electronic grade books an accurate and user-friendly website is no longer a luxury.  It is now a requirement.

In fact, in many areas public organizations are required by law to make certain information available electronically through its website.  Our custom designed website components allow your district to be fully compliant with all state laws and guidelines while keeping the website easy to manage.

Managing your district website can be facilitated in one of two ways and absolutely no website experience or HTML skills are required.  You can designate internal resources to manage your website content.

Alternatively, our website developers can completely manage the website for you adding community alerts, information, calendar data as well as sporting events and other information.  The choice is yours, but regardless of the management approach, your website will always be current and informative.  Best of all, our website components work on ANY hosting service eliminating the need for costly subscriptions to web content companies and complex E-rate eligibility issues.  All necessary web hosting services are a part of your HelpMySchool service package.  There is no need for outside hosting services adding to annual savings of over $3,500 on average.

System Design Services

Properly designing and planning your technology projects can save you as much as 20 percent on average.  In addition to the cost savings, a properly planned project is far more likely to be completed on time, on budget and without incident.

Our planning professionals are there to design any technology implementation in a fiscally responsible way.  But, there's more to this service than just designing it.  Your Account Manager will see that every aspect of the project is properly installed, tested and is complete compliance with your current technology plan.

Your Account Manager has access a vast array of tools and resources that allow him to design technology upgrades and services.  With access to BICSI certified engineers to resources in over 1500 educational software titles we can and will see that your project is properly implemented.

RFP And Bid Processing Services

Wouldn't it be nice to know that with every technology purchase you are saving money?  Now you can.  Our RFP and Bidding Services work hand-in-hand with your design and planning services to see that you are getting the absolute BEST price on every technology purchase no matter how large or small.

HelpMySchool DOES NOT sell hardware or software products and does not charge commissions or fees to vendors for sales.  Because every technology purchase is sent for bids automatically, your district will always pay the best price possible.  What's more, our bidding process is easy to use and is available to any district employee.

The process is simple.  When a new technology item is needed, your technology plan is researched for the purchase.  Once the plan has been verified and/or updated, the request is sent electronically to our System Design Services.  The purchase is designed and specified to be in compliance with your existing technology and budgetary constraints.  Then, the request is automatically sent to hundreds of online and local vendors who then make an offer to sell the product.  Since the specifications have been included, every vendor is bidding EXACTLY the same items.  The bids are then sent back to the requestor for selection.  Once a successful bidder is chosen, the necessary purchase request forms and documents are prepared and the purchase is automatically sent to the local Administrator for approval.  This process typically takes less than 1 business day.

Once the purchase is approved, your HelpMySchool Account Manager will place the order for you, arrange shipping and receiving and follow the order through to delivery.  Once delivered, installation of the device is engaged and all affected staff is trained on the device.  The purchase process is handled from A to Z.

Professional Development

Technology is only beneficial if your staff are properly trained on using it.  Furthermore, in the special environment of education, each technology component should have a direct link to the learning process.

When your staff is properly trained on a given technology item, he/she will be far more likely to incorporate it into the classroom and use the component as a learning tool.  To accomplish this, HelpMySchool engages a "Just In Time" training model.  This approach facilitates a customized training process at the same time the component is being installed in the learning environment.

Studies have shown that users who obtain training in conjunction with new technology are far more likely to benefit from its existence.  That's why HelpMySchool approaches training the way we do.  Our training programs allow teachers and other learning professionals to have the tools necessary to utilize the equipment he has available to him/her.

Software License Compliance

Not knowing what software licensing you own can prove to be quite costly.  In fact, in the wake of recent software piracy allegations, school districts are among those who should be most diligent in keeping good licensing records.

Aside from the obvious legal reasons, accurately managing your software licenses can save school districts thousands of dollars.  Your HelpMySchool Account Manager will inventory each licensing device in your system and assemble the license counts into our proprietary management database.

From within the database, a responsible software management plan will be designed and monitored regularly.  When additional software licensing is required, we'll use the information obtained to assist the district in purchasing the correct and most cost effective licensing program from the applicable vendor.  Once the additional software licensing is obtained, we'll automatically launch the new licenses.

Additionally, most software license agreement negotiated by your Account Manager will allow for your teachers to use a copy of the applicable software at home for school purposes.  Purchasing software through conventional channels frequently omit this aspect.

Lastly, our clients typically see additional savings on software purchases because of volume purchasing.  Since we manage a constantly growing number of school districts, we can frequently combine orders increasing the quantity needed.  This quantity increase normally leads to better "per unit" pricing.

Contract Negotiations

Negotiating contracts is complex enough.  Negotiating technology contracts can not only be complex, but costly as well.  Your Account Manager will assist district Administration in negotiating technology contracts and has the unique ability to structure such contracts to the district's advantage rather than the vendor.

Technology contracts come in many forms.  The most common of these forms are software maintenance agreements and hardware support contracts.  Although most HelpMySchool clients no longer find these agreements to be necessary, from time to time they can be a useful tool.  These contracts should ALWAYS be in the favor of the school district.

HelpMySchool maintains availability of attorneys and legal consultants who are specially trained to advise our clients on technology service contracts and agreements.  Your Account Manager will work with this legal staff when necessary to negotiate contract terms in your favor rather than that of the provider.

Student Technology Days

We understand and support the need for keeping the student population in tune to available technologies.  To enhance this need, your Account Manager will conduct regular Student Technology Days in cooperation with your counselors and technology teachers.

Technology Days are short one-hour sessions conducted in the classroom environment.  During these sessions, a specially trained HelpMySchool instructor will come to your location and work with students on a class-by-class basis on how to responsibly pursue technology interests in the public sector.  Students are given activities and assignments which they complete during the sessions.  These activities are written by certified teachers and are designed to help students identify specific technology areas of interest.

Following the activities, the students are given the opportunity to connect with real-world professionals who have volunteered their time to serve as mentors for students of HelpMySchool managed schools.  In some cases, students are given opportunities to function as in-turns and "shadows" for these industry professionals.  As a result, students learn a great deal from their interest areas and gain valuable contacts and resources for post-secondary job opportunites.

Other Services

We provide a host of other services each tailored to individual needs.  In fact, in many cases we have custom built services for our clients that eliminate the need for other financial outlays.  Since we never charge extra for these services we can always reduce the overall cost for managing school technology.
